HARWICK INSTITUTE FOR COGNITIVE RESEARCH BEHAVIORAL SCIENCES DIVISION MEMORANDUM TO: Laboratory Directors, Behavioral Sciences Division FROM: Program Coordination Office RE: Division 42 Subject Follow-up — Third Quarter 1988 DATE: August 14, 1988 CLASSIFICATION: RESTRICTED DISTRIBUTION --------------------------------------------------------------------- This memorandum serves as notice that third-quarter (Q3 1988) follow-up assessments for the Division 42 subject cohort are now overdue. Laboratory directors are requested to submit updated status reports for all assigned subjects no later than September 1, 1988. Report forms are attached (Form Q3-88-S). Directors who have not received their current subject assignment lists should contact this office. PRIORITY FOLLOW-UP The following subject categories require priority attention this quarter: 1. Subjects with documented high-expression profiles identified prior to 1975, regardless of current contact status. If contact has lapsed, please indicate last known location and date of last confirmed contact. 2. Subjects with confirmed skip-generation indicators in family record. These subjects are flagged in the assignment system with marker code SG. If you are uncertain whether a subject carries this marker, contact this office. 3. Any subject for whom contact has lapsed greater than 18 months. These cases require escalation to senior program coordination before the end of Q3. CONTACT PROTOCOLS All follow-up contact with Division 42 subjects must be coordinated through this office. Direct researcher contact with subjects outside of scheduled assessment windows is not authorized and has not been authorized since the January 1986 protocol revision. If a subject initiates unsolicited contact with a researcher, the researcher is required to notify this office within 48 hours. If a subject asks questions about the nature or purpose of the research program, researchers should follow the standard response protocol (Appendix C of the 1986 handbook). Do not improvise. Do not refer subjects to external resources. Do not confirm or deny the existence of prior program phases. DOCUMENTATION REMINDER All subject contact records must be stored on the restricted filesystem, not on individual workstations or removable media. The restricted filesystem is backed up nightly. Individual workstations are not. A number of Q2 contact records were submitted as paper forms rather than entered into the system. This is not acceptable going forward. UPCOMING: Q4 ASSESSMENT WINDOW The Q4 assessment window will open October 15. Scheduling information will be distributed in late September. Directors should anticipate increased subject contact volume in Q4 due to the expanded cohort additions approved at the June review. Questions regarding this directive or the Division 42 subject assignments should be directed to Program Coordination. Do not route Division 42 inquiries through general administrative channels.
